§ Brief

The problem.

VAS Interpretation manages a network of interpreters serving healthcare and legal clients across Los Angeles. With 12 active staff and hundreds of monthly visits, assignments and scheduling were coordinated over a mix of spreadsheets and phone calls. Completion tracking didn’t exist in any meaningful way — they found out about missed visits after the fact.

§ Approach

Login. Schedule. Done.

We built a staff operations system with login-based access for every interpreter and administrator. Schedulers assign visits from a central dashboard; interpreters see their upcoming schedule and log completions from any device. The reports module pulls from live data — completion rate, hours worked, weekly visit trends by day — so operations has real visibility without chasing anyone down for an update.

We kept the interface deliberately simple. The staff using this daily aren’t power users; every screen needed to be immediately readable under time pressure in a client’s waiting room.

§ Outcome

95% completion.

387 monthly visits tracked in real-time. 232 staff hours captured weekly without a single spreadsheet. Completion rate sits at 95% — and operations knows about the 5% the same day it happens, not the following week.
